A single task that needs to appear in multiple notes

In a 1:1 meeting with Alice sometimes a topic will come up that I need to discuss with Bob. It makes sense to include the to-do alongside other work in my Alice note, but I need to have it fall to hand at the right time when I talk to Bob next, such as in the my Bob note. I can assign it to a day, but that means I need to look in two places for my Bob agenda – his note and the daily note. It'd be nice to be able to include a task in Bob's note by reference from Alice's note.

When a topic comes up that I need to discuss with Bob, I add `@bob` to the topic. **Tags** are well supported by Noteplan. I like that it has even two separate tag hierarchies. `#`-hashtags and `@`-mentions. When I talk to Bob, I check `@bob`. It's quick and reliable. I also tried a Bob note, but I got rid of it. It didn't work out. I found it more useful to focus on the reasons *why* I want to talk to Bob. I try to put my tasks in a *meaningful context*. If it's some kind of project, then I have a note for the project. If it's a follow-up to a previous meeting, then I have meeting notes. If it's an upcoming meeting, then I prepare a meeting agenda, not a Bob agenda. And sometimes I just send Bob a direct message or enter the agenda in our collaboration tool.

Rhubarb: Sure. This is sensible, but my workflow differs in a way that is useful to me. I have regular 1:1s with each of the people I support, and find it helpful to have the meeting notes for a person (and my prep, and my developmental notes on the person) in a single note, with headings by date. This leads me not to want to have to check multiple places for relevant things – I'd like to be able to PUT or BRING them to the right place so they are ready there when I need them.

Jon Plummer: Ah, different use cases. I thought of Bob as a team member, not as client. If I understand you correctly, you're using Noteplan to manage your **case files**. The Bob note contains all the documentation of Bob's case. I prefer to keep client data separate from Noteplan, for practical and for legal reasons. If privacy or confidentiality is an issue, I use Noteplan only to manage appointments and jot down the occasional quick note. I'd keep clients' case files outside Noteplan, preferably in some kind of secured or encrypted location. And I'd check with a lawyer how data protection laws like [GDPR](https://en.wikipedia.org/wiki/General_Data_Protection_Regula…) (Europe) or [HIPAA](https://en.wikipedia.org/wiki/Health_Insurance_Portability_a…) (US) need to be considered.
